GENERAL DESCRIPTION
Under the supervision of the Project Manager, the QIC-AG Project Assistant is responsible for providing support to the National Quality Improvement Center for Adoption/Guardianship Support and Preservation. The Project Assistant will be involved with various programmatic/ administrative aspects of the federal cooperative agreement.
PRINCIPLE RESPONSIBILITIES
General Administration
- Prepare bills and statements for the business office
- Process contracts and honorariums
- Assist in reception area rotation
- Maintain a filing system for Academy invoices
- Order supplies for the Academy
- Assist Academy staff to process travel and expenditure documents
- Other job-related tasks as assigned.
Support QIC-AG
- Coordinate on-going travel for consultants and staff
- Order supplies for sites, meetings and general project activities
- Coordinate travel for project meetings
- Assist with the logistics of on and off-site meetings
- Copy and disseminate project material as needed
- Coordinate project webinars
- Develop and process contracts with vendors and consultants
- Track spending of contracts/sub-awards and sends out notices for late invoices
- Assist with logistical arrangements for conferences and meetings
- Format reports and other tools/documents
- Track and monitor spending of existing pilot sites and new pilot sites
- Handle logistics of setting up consultation with non-pilot sites who want assistance with their continuum of services
QUALIFICATIONS
- Associates degree in business required, four-year college degree preferred
- Proficiency with Microsoft Word and Microsoft Excel
- Excellent organizational skills
- Ability to provide attention to detail
- Ability to handle multiple assignments
- Ability to work independently and be self-directed
- Excellent interpersonal skills
- Excellent communication skills
